What the quote should cover

For a manufacturer, the all-in-one DPDP compliance quote depends on the plants, people systems and business processes in scope. Employee records, access systems and warranty support may sit with different owners. The assessment should identify those owners before implementation work is priced.

Define the review boundary

For DPDP scope, identify digital personal data and paper records that are subsequently digitised. Track wholly paper records separately when planning wider records work. For employee data, review each purpose against section 7(i), which provides for certain legitimate uses relating to employment. Use the Act's sections 3 and 7(i) to frame that review with the responsible adviser.

These are the consulting delivery stages. A workshop has a separate learning agenda and agreed outputs. Confirm team availability, system access and supplier dependencies when setting the project dates.

Bring these inputs to the scoping call

  1. List plants and identify the HR, IT and site owner for each one.
  2. Bring a systems map for payroll, attendance, visitors, CCTV and warranty support.
  3. Mark which paper registers are scanned or entered into a digital system.
  4. List processor services and existing contracts; separate them from suppliers that only exchange business contact details.

Use the workshop to prepare the team

Run one exercise on a joiner-to-leaver record and another on visitor access at a plant. Include HR, IT, procurement and site operations. Agree a record map, purpose questions and the actions each owner needs to take.

Review the workshop deliverables and agree the exercise outputs before booking. Use the follow-up plan to assign the next actions.

Before accepting a quote

  • Check that the proposal names the systems and teams in scope.
  • Ask which software, supplier changes and internal staff time need separate budget.
  • Agree who approves the changes and what the final assessment will examine.

Legal scope and conditions should be checked against the DPDP Act, including its commencement provisions, and the applicable rules when planning the work.

Does every employee use require a consent form?

Review the purpose first. Section 7(i) provides for certain legitimate uses relating to employment. Assess the conditions for the specific use and record the chosen basis with your adviser.

How should we scope paper visitor registers?

Record whether they remain wholly on paper or are later digitised. Section 3 covers digital personal data, including data collected on paper and subsequently digitised.

Why does the number of plants affect the quote?

Plants may use different attendance, access and security systems. The quote should show which sites and systems need review, configuration changes and staff training.
